Most stock discrepancies arise not from theft or sloppiness, but because registering takes too much effort. The real problem
Ask in any warehouse why the numbers don't match, and the answer is almost always the same: parts get taken without being booked.
That is not unwillingness. The technician is at the rack with dirty hands, the computer is two aisles away in the office, and the part is needed for a machine that is standing still right now. In that trade-off, admin always loses.
So the solution is not to demand more discipline, but to make the action easier than skipping it. That is exactly what mobile registration does: it moves the input to where the action happens.
The three moments that count
Not everything needs to be mobile. There are three moments where registration is normally skipped, and those three determine whether your stock is accurate.
Issuing against a work order
By far the most important. A part leaving the shelf without being booked makes your quantity unreliable and your cost registration incomplete, because the consumption never reaches the work order.
Mobile, this becomes: open the work order, scan the item, confirm the quantity. Three actions at the rack, instead of a note that has to be typed up later.
Goods receipt
A delivery that ends up in the cupboard without being booked produces the mirror image: you have more than the system thinks, so you reorder unnecessarily. Scanning at receipt means stock is accurate the moment the part arrives, not the moment someone has time.
Counting
Counting on paper means doing the work twice: first noting, then typing up. Errors arise during the typing that you can no longer trace.
Mobile counting is scanning and entering a quantity, preferably without the counter seeing the system quantity — otherwise they unconsciously confirm what is on screen. How to set up the counting cycle is covered in cycle counting.
Phone or handheld scanner
The classic choice is an industrial handheld terminal. Those are rugged and last a long time, but they are expensive, there are never enough of them, and too often they sit flat on a charger in the warehouse office.
Everyone already carries a phone. A modern phone camera reads barcodes and QR codes perfectly well, even at an angle and in poor light. For most technical warehouses that is more than enough, and the number of devices is by definition not a problem.
Handhelds remain worthwhile where conditions are extreme — freezers, explosion risk, or thousands of scans a day. In the rest of cases availability beats ruggedness.

Offline has to work
Warehouses are exactly the places where the network drops: thick walls, racks full of steel, basements. A solution that needs a connection to function will be traded back for paper at the first outage.
What you need is for the data to be available locally and for actions to be held until there is a connection again. More importantly: it has to be visible what hasn't been processed yet, so nobody assumes something was booked while it is still queued.
Getting the shop floor on board
Technology is the easy part. A few things that make the difference:
Make it save time, not cost it. If scanning takes longer than a note, you lose. Actually measure this: have someone do it both ways and time it.
Start with one crew or one zone. A small group that makes it work convinces the rest better than a rollout with an instruction email.
Show the result back. If stock accuracy rises and there are fewer stockouts, show it. Registering feels like admin until someone notices the part is now actually there.
Clear the exceptions. One item that can't be scanned because its label is missing undermines confidence in the whole system. Make sure there is a fallback — searching by description or by photo — so nobody gets stuck.
What you measure when it works
The clearest gauge is stock accuracy: the percentage of counted lines that match. That should rise within a few counting cycles.
Alongside that: the number of times a work order waits for a part the system said was there. That figure touches the shop floor directly and is therefore the most convincing evidence that it works.
Frequently asked questions
Do we need special hardware for this?
Usually not. A modern phone with a camera is enough for barcodes and QR codes. Handheld terminals make sense in extreme conditions or at very high scan volumes.
What if a technician doesn't have a company phone?
Then choose a few shared devices per crew, with personal logins. That is still cheaper than handhelds, and the login keeps it traceable who booked what.
Does scanning still work if the label is dirty or damaged?
A QR code stays readable when part of it has worn away; a barcode is more sensitive to that. Always provide a manual fallback as well, because an unreadable label must not block the work.
Should we introduce this before the rest is in order?
No, the other way round. Without fixed locations and readable labels there is little to scan. Set up your warehouse first, then make it mobile.
