Folders, versions and a recycle bin.
You organise documents in folders, in the order you choose. Upload a file with a name that already exists and you decide: new version, keep both or skip. Earlier versions stay available.
Version control
Every version with its revision, change note and who uploaded it. Restoring an old version creates a new version. Nothing is overwritten.
Recycle bin
Deleted documents stay in the recycle bin for thirty days. You restore them to their old folder or to another one.
View without downloading
PDFs, Word documents, images, text files and videos open straight away. For a PDF you see the first page before the whole file has arrived.
Document types
Drawing, P&ID, manual, certificate, report or other, with document number and description.
Linked to assets
A document belongs to one or more assets. The asset file shows which documents go with it, and the other way round.
Checked uploads
On every upload TimeQeeper checks that the file's content matches its file type.
Search what is actually in the document.
One search box covers name, document number, description and content. Pages without a text layer are read with text recognition first, on our own servers. A hit shows where it was found and opens the document at that spot.

On drawings and P&IDs, TimeQeeper recognises equipment codes, KKS codes or your own coding, and links them to the asset with that code. Every link can be confirmed, ignored or moved to another asset.

See what changed between two revisions.
Compare two versions of a drawing. TimeQeeper shows which codes are new, gone or moved, which text lines changed, and which open work orders exist on the affected assets.
Accept the title block
For a new drawing, TimeQeeper proposes the title block: drawing number, revision, title and date. If it is correct, you accept it with one click.
From document to action points or a maintenance plan.
Two features in Maintenance build on the same reading layer. A contractor's report is turned into action points, and a manufacturer's manual into a proposed maintenance plan. You review every proposal next to its source before anything happens.

Text recognition on scans runs on our own servers. AI is switched on by default. An external AI service then also processes text from documents: to read reports and manuals, to search by meaning and to recognise the kind of document. Pages that text recognition cannot read can be sent to that service as images, if that option is switched on. Your administrator can switch AI off per environment; word search and code recognition keep working as before.
Frequently asked questions about document management
Which files can you store?
PDFs, Word, Excel and PowerPoint files, images, text and CSV files, and videos. On every upload TimeQeeper checks that the content matches the file type.
Does TimeQeeper read scanned documents too?
Yes. Pages without a text layer are read with text recognition, on our own servers. After that they are searchable and codes on them are recognised.
Which codes are recognised?
KKS codes and up to twenty code patterns of your own per organisation. A code that is found is linked to the asset with that code, and every link can be confirmed or adjusted.
Do we lose old versions?
No. Every version is kept, with its revision and change note. Restoring an old version turns it into a new version.
How is access arranged?
Through the module permissions: read, write, full or admin. Uploads, downloads, moves and deletions are recorded in the logbook.
Where is document content processed?
Storage and text recognition take place in our own environment. With AI switched on, text from documents is also processed by an external AI service, as are pages that text recognition cannot read, as images, if that option is switched on. Your administrator can switch AI off per environment.
