Time tracking for technical teams. Three ways, one timesheet.

Employees clock in with TimeQeeper Pocket, present their badge at the clock station on site or enter their hours themselves. The client signs digitally, the manager approves and the timesheet goes to your office as a PDF.

Three ways

Time tracking that fits the way you work.

Time tracking is part of the Workforce module. For each company you choose the registration method: badging at a clock station, clocking in Pocket or entering hours yourself. Everything comes together in one timesheet per employee per week.

Clock station

A clock station you can set up anywhere.

When your team works on a project site, TimeQeeper supplies a compact clock station with its own 4G connection. We set it up in advance and connect it to your environment; on site you only plug in the power. When the team moves on to the next project, you take the clock station with you.

  • Its own 4G connection: no Wi-Fi or laptop needed
  • A green light and a beep confirm every scan
  • If the connection drops for a moment, the clock station keeps the scans and sends them later, with the original time
  • Manage badges in TimeQeeper: link one to an employee, report it lost or put it back in stock
  • With Pocket notifications on, the employee gets a confirmation on their phone
In the app

Time tracking app: clock in, fill in and submit in Pocket.

With Pocket, an employee clocks in on the right job, completes the week, has the client sign and submits the week. Someone without a user account signs in with an activation code and sees only their own hours.

  • Location at clock-in and clock-out, if your organisation switches it on: you see whether someone clocked in inside or outside the project site
  • Presence suggestions: arrival and departure at the project site as a suggestion for the timesheet, only if the employee turns this on
  • Clock entries and new hours are kept when there is briefly no signal

Timesheets

One timesheet per employee per week.

Each day shows the start and end time or a number of hours, with break, kilometres, project, hour type and a description. Agreements per client, such as their own break rule, travel allowance or percentage per hour type, are applied automatically. Hours can be copied from the clock entries or from the previous week.

Signing and approval

Signed by the client, approved by the manager.

When an employee works at a client's site, the client signs the hours per project digitally on the phone's screen. The employee then submits the week and the manager gets a notification. The manager approves it or sends it back with a reason, in the web app or on the go in Pocket. Nobody approves their own hours.

  1. 1

    Record hours

At the clock station, in Pocket or entered manually.

  2. 2

    Client signs

Digitally, on the phone's screen, per project.

  3. 3

    Submit the week

Every submission is stored as a locked version.

  4. 4

    Approve or send back

By the manager, one at a time or several at once.

If the hours change after signing, the signature lapses and the client signs again.

The employee hears straight away.

When a timesheet is approved or sent back, the employee gets a push notification from TimeQeeper Pocket, if notifications are on. Anyone who clocks in with a badge also gets a confirmation of the clock time.

Overviews

Hours per period, laid out for the office.

The hours overview lists the hours of a period per employee, project and hour type, including the payable hours, kilometres and travel costs. Download timesheets and the hours overview as PDF, and export any list to Excel.

See who is present, live

The Present now overview shows who is clocked in, via Pocket or the clock station. Exceptions, such as a forgotten clock-out, go to a separate list for review.

By e-mail after approval

Switch it on and an approved timesheet goes to your office as a PDF. The client only gets the hours on their own projects, and the employee can receive a copy.

Configured by you

Job titles, hour types with their percentage, clients with their projects and locations, and the agreements per client are yours to configure.

FAQ

Frequently asked questions about time tracking

What is time tracking?

Time tracking means recording the hours each employee works: when they started and stopped, with which break, on which project and under which hour type. In TimeQeeper you record hours in the app, at a clock station or by entering them yourself, and everything comes together in one timesheet per employee per week.

Is time tracking mandatory?

For employers in the Netherlands, as a rule, yes: the Working Hours Act requires a proper record of every employee's working and rest times, kept for at least 52 weeks. Hours that support payroll or invoices also fall under the seven-year tax retention requirement. Exceptions and details are in our article on whether time tracking is mandatory.

Can we start with an Excel template?

You can. The knowledge base has a free timesheet template for Excel, with an explanation of the formulas and of where Excel falls short. If you switch later, your team records hours in the app and you can export any list from TimeQeeper back to Excel.

Do employees need an account of their own?

No. An employee without a user account signs in to TimeQeeper Pocket with an activation code and sees only their own hours. Someone who only badges in at a clock station just needs a badge.

Are employees' locations tracked?

No, no route is recorded. If your organisation switches it on, Pocket takes one location reading at clock-in and clock-out, so you can see whether it was inside or outside the project site. If the employee declines permission, clocking still works.

Can you use fingerprints for time tracking?

As a rule, no. A fingerprint or face scan is biometric data, and an employer may only process it when a legal exception applies. For time tracking that is rarely the case: the Dutch Data Protection Authority fined a company that scanned employees' fingerprints for attendance and time records. In TimeQeeper, hours are recorded in the app, with a badge or by entering them yourself.

What if there is no signal on site?

Pocket keeps clock entries and newly entered hours until there is a connection again, and the clock station keeps its scans. Everything then goes through automatically, with the original times.

Who approves the hours?

The manager assigned to the employee, in the web app or in Pocket, who approves the timesheet or sends it back with a reason. Reopening an approved week requires admin rights and a reason.

How do we get the hours to payroll?

With the hours overview per period as a PDF, broken down per employee, project and hour type, with the payable hours and travel costs. After approval, each timesheet can also go to your office automatically as a PDF by e-mail, and you can export any list to Excel.

What does the client see when signing?

The hours of that week for their own project. The signature belongs to exactly those hours: if they are changed afterwards, the client has to sign again.
