Clocking

Clock in on the phone, even without an account of your own.

In TimeQeeper Pocket an employee clocks in and out, optionally on a project. Someone without a user account signs in with a one-time activation code and sees only their own hours. If the signal drops, the app keeps the clock entry and sends it as soon as there is a connection again.

One timesheet per employee per week.

Per day you enter start and end time or a number of hours, with break, kilometres, project, hour type and a description. The break follows a fixed rule per company or per project. Hours can be copied from the clock entries or from the previous week.

When an employee works at a client's site, the client signs the hours per project on the phone's screen. The employee then submits the week. The manager approves it or sends it back with a reason. Nobody approves their own hours.

Hours per period, ready for the office.

The hours overview lists the hours of a period per employee, project and hour type, including the payable hours, weighted by the percentage of each hour type. Timesheets and overviews are available as PDF, and every list exports to Excel.

FAQ

Frequently asked questions about Workforce

Do employees need an account of their own?

No. An employee without a user account signs in to TimeQeeper Pocket with a one-time activation code and sees only their own hours. People with an account find My hours among their other modules.

What if there is no signal on site?

The app keeps clock entries and newly entered hours until there is a connection again. They are then sent automatically, in the order in which they were made.

Who approves the hours?

The manager assigned to the employee, who approves the timesheet or sends it back with a reason. Reopening an approved week requires admin rights and a reason.

How do we get the hours to payroll?

With the hours overview per period: a PDF per employee, project and hour type. You can also export the timesheets and time entries to Excel, so you hand over the hours the way your payroll team is used to.

Can we see who is present right now?

Yes. The Present now overview shows live who is clocked in. Deviations, such as a forgotten clock-out, go to a separate list for review.

What does the client see when signing?

The hours of that week for their own project. The signature belongs to exactly those hours: if they are changed afterwards, the client has to sign again.
